What a modern managed IT service actually includes

A modern UK managed IT service is more than a helpdesk number. The standard 2026 baseline includes proactive monitoring of every endpoint and server, automated patching, security tooling, Microsoft 365 management, backup, an unlimited end-user helpdesk, named account management and quarterly business reviews. Anything less is below market.

The difference between providers is in the operating model: how quickly they respond, how proactive they really are versus reactive, whether they have a UK-based service desk, whether they own their tooling, and whether they can credibly support cloud, security and connectivity rather than passing those problems on.

Break-fix vs managed: when to make the move

Break-fix support - paying per incident, with no proactive maintenance - is appropriate for very small organisations with simple environments and high tolerance for downtime. For everyone else, it has been the wrong economic model for at least a decade.

Three signs you have outgrown break-fix: incidents are recurring rather than one-off, leadership has lost visibility on what the IT environment actually looks like, and you cannot answer basic questions like 'are all our laptops patched?' or 'when did we last restore from backup?'

Scoping a managed IT service correctly

Scope is where managed IT contracts succeed or fail. A vague scope - 'everything IT' - leads to disputes within months. A precise scope is the basis of a healthy relationship.

  • User count, in-scope devices and supported applications
  • Coverage hours and response/resolution SLAs by priority level
  • What is included vs what is project work (e.g. office moves, major migrations)
  • Security tooling - EDR, MFA enforcement, vulnerability management - either included or named as add-ons
  • Backup and disaster-recovery commitments, including RTO and RPO
  • Reporting cadence and what each report contains
  • Exit terms - data return, knowledge transfer, contract end notice

Security: included or sold separately?

Two years ago, a managed IT service that didn't include endpoint detection, MFA enforcement and vulnerability management was normal. In 2026 it isn't. Every credible UK managed service should include a defined security baseline as standard, and offer managed SOC, managed XDR and 24/7 monitoring as optional uplift.

If a provider's quote leaves security entirely outside the contract, that is a signal worth asking about. The cheapest managed IT contract is rarely the cheapest total cost when security incidents are factored in.

Microsoft 365 management is now central

For most UK SMEs, Microsoft 365 is now the most business-critical environment in IT. Managed Microsoft 365 should include tenant configuration management, identity and access policies, sensitivity labels and DLP, monthly tenant reviews, licence optimisation and end-user support for the suite. Treating it as 'just email' is the most expensive M365 mistake we see.

How to compare providers honestly

Headline prices rarely tell the real story. To compare like for like, get every quote into the same template: per-user cost for the named scope, project rates for out-of-scope work, response SLAs by priority, security tooling stack, M365 management, backup, account management cadence and exit terms.

Then check references from clients of a similar size and sector. Ask specifically about response times during a real incident, not the marketed SLA.
